  • The AVAHO Annual Meeting is an opportunity for VA oncological and hematological professionals and community partners providing cancer care for veterans to network, learn, and develop best practices for veteran health. Sponsorship at this meeting increases your visibility and relationships with medical professionals.

    Your sponsorship ensures the professionals who provide ongoing care to veterans with cancer and hematological disorders have the best information, professional networks, and clinical knowledge to provide the highest quality of care and treatment to veterans.

    Please review the exhibit opportunities and add-on sponsorships below.
  • Please note that there are limits on the number of people from industry that may attend the meeting. Badges are provided according to sponsorship level. You must be an exhibiting company to attend the meeting, as we will not be selling individual badges. If you are an IRC member, please ensure you also register yourself during our attendee registration.

  • ALL EXHIBITORS receive the basic package below:

    • Complimentary badge registration by sponsorship level (varying number per company)
    • Sponsor designation on conference badges
    • Logo by level on signage in registration area (company names listed for Bronze sponsors)
    • Recognition in printed conference program
    • Logo display on slideshows in all meeting rooms
    • Ticket to Welcome Reception for each registered representative
    • Company profile on Whova
      • This app allows open-forum communication between all attendees and sponsors.
      • Companies upload company information (website link, brand info, videos, attachments, etc.) directly onto Whova app.
      • Live for 6 months following conference

    BRONZE AND NON-PROFIT exhibitors receive the basic package plus:

    • One 6-ft table and 2 chairs
    • 2 complimentary staff badges

    SILVER exhbitors receive the basic package plus:

    • One 10x10 display -- includes one 6-ft table and 2 chairs
    • 4 complimentary staff badges
    • One complimentary mention in a daily update during the week of the meeting

    GOLD exhibitors receive the basic package plus:

    • One 10x15 display -- includes two 6-ft tables and 4 chairs
    • 8 complimentary staff badges
    • One complimentary mention in a daily update during the week of the meeting
    • Logo placement on large posters in general meeting areas
    • One promotional item in the registration bag per company

    PLATINUM exhibitors the basic package plus:

    • One 10x20 display -- includes two 6-ft tables and 4 chairs
    • 10 complimentary staff badges
    • One complimentary mention in a daily update during the week of the meeting
    • Logo placement on large posters in general meeting areas
    • Up to 2 promotional items in the registration bag per company
    • Recognition ad in conference program (1/4 page)
    • Fitness Fundraiser event sponsorship (logo on event t-shirt). This event benefits a designated veteran charity.

    TITANIUM exhibitors receive the basic package plus:

    • One 10x20 display -- includes two 6-ft tables and 4 chairs
    • 15 complimentary staff badges
    • One complimentary mention in a daily update during the week of the meeting
    • Logo placement on large posters in general meeting areas
    • Up to 3 promotional items in the registration bag per company
    • Recognition ad in conference program (1/2 page)
    • Fitness Fundraiser event sponsorship (logo on event t-shirt). This event benefits a designated veteran charity.
    • Sponsorship of the 2025 Welcome Reception
    • Exclusive benefits based on availability (ie. private hospitality room)

     

    Platinum and Titanium sponsors may choose ONE of the following benefits as part of their sponsorship package at no additional cost. These are available on a first-come/first-serve basis with registration.

      • The Poster Session will be available throughout the conference on electronic kiosks. Your company logo appears on the signage. 

     

    Discretionary Sponsorships

    AVAHO recognizes the importance of the participation of nonprofit patient advocacy and support organizations at our annual meeting. The eligibility for and availability of this exhibit space are at AVAHO’s discretion. AVAHO also recognizes the need for diversity in sponsorship. A select number of sponsorships will be reserved to provide start-up, emerging and small companies the opportunity to serve as a sponsor.

  • Titanium, Platinum, and Gold exhibitors have a limited number of Bronze booths available for purchase exclusively for medical affairs. These are offered on a first-come, first-served basis and are subject to availability.

  • Platinum and Titanium sponsors may choose ONE of the following benefits as part of their sponsorship package at no additional cost. These are available on a first-come/first-serve basis with registration.

                      • Cancellation Policy

                      • A full refund will be made when exhibit or sponsorship cancellations are received in the AVAHO office on or before July 12, 2025. No refunds will be made for exhibit space cancelled after said date. Cancellations must be made in writing. To cancel an exhibit booth registration, please email joann@avaho.org.
